This Privacy Notice (hereinafter the “Notice”) applies to the processing of data relating to the use of the ERBC website: www.erbc-group.com (hereinafter "the Website").

European Research Biology Center (hereinafter referred to as ERBC) takes your privacy very seriously. We aim to be as honest and transparent as possible with you about how we use of the personal data we collect. We respect the privacy of our visitors and customers (including those of the former CERB and RTC, which became ERBC in 2019) in order to build a sustainable relationship with you based on trust. To that end, we provide this Privacy Notice to help you understand how we are committed to protecting your personal data. This notice explains how we do this and tells you about your privacy rights and how the law protects you.

ERBC as the Controller of the personal data, is committed to comply with: 

  • The General Data Protection Regulation N°EU 2016/679 (hereinafter, the "GDPR"),
  • The French Law No. 78-17 of January 6, 1978, relating to data, files and freedoms, as amended by Law No. 2018-493 of June 20, 2018, relating to the protection of personal data,
  • And all applicable EU data protection laws and regulations.

Collectively referred to as "Data Protection Laws". All terms relating to data protection must be interpreted in the light of the GDPR.
With this Privacy Notice, ERBC wants to make sure that you understand what personal data is collected about you, how your personal data is used and how it is kept secure.

Our privacy commitment:

  • We respect your privacy and your choices.
  • We will send you marketing communications unless you request to be removed from our database. If so, we are committed to do so as soon as possible.
  • We will not process your personal data in ways that we have not told you about.
  • We will never sell your personal data.
  • We are committed to keeping your personal data safe and secure.
  • We are committed to being transparent about how we collect and use information from you.
  • We respect your rights and will always try to accommodate your requests as far as possible, in line with our own legal and operational responsibilities.  
  • When we collect your personal data (during congresses, webinars, through contact forms published on our websites, by placing an order with us, through a marketing subscription or by purchasing contacts from vendors …) we and our third parties will use it in accordance with this Privacy Policy. We will always use our best efforts to ensure that the third parties we work with will keep your personal data secure.
  • Please note that not all the information in this Privacy Policy may apply to you. Below is an overview of the types of situations in which we may interact.  Please review this information carefully. What is personal data?

“Data” means any information relating to an identified or identifiable natural person. “Personal data” means any information that could identify you either directly (e.g. your name) or indirectly (e.g. through pseudonymized data such as a unique number). This means that personal data includes information such as first/last name, phone number, e-mail address, company name, address, title/position, area of profession, areas of interest, and information about your work. It may also include your computer’s IP address or your mobile device’s address as well as cookies.

What information do we collect?

We only collect business and professional information to be used in our direct marketing, e-mails, e-newsletters, and phone calls in order to market ERBC’s products and services. Moreover, we use this information internally at ERBC to improve the customer experience, our website, marketing, sales and social media efforts.

In the paragraphs below, we explain the context in which your personal data is collected and how we process it: we explain the activity in which you are involved when we process your personal data and the types of personal information we may collect when you are involved in that same activity. 

Online browsing

When visiting our website, your personal data is automatically collected by cookies. For information about cookies, please read the cookies section.

Data related to your use of our websites including:

  • Where you came from
  • The pages you view: The titles and the URLs of the pages you view
  • Duration of your visit: The date and time of your visit
  • Your IP address (computer’s address)
  • Device information: Regional and language settings (to determine country origin), operating system (Windows, OS X, Linux, iOS, Android, etc), Java and JavaScript support
  • Visitor ID assigned to each visitor and ID expiration date

Social Media browsing

We collect your personal data when you submit content on any of our social media platforms. Moreover, we gather social media statistics from the social media software platforms on which ERBC is present. Currently, this is LinkedIn. The information is used for analytics purposes: number of visitors, impressions, visits, mentions, like and followers.

Web-page contact forms / Enquiries

We collect your personal data when you ask questions related to our products or activities, or when we manage your requests through our website contact forms.

Data related to your inquiries are:

  • First name and last Name
  • E-mail address
  • Company/Institution name
  • Other information you have provided to us about yourself in connection with your inquiry

Webinars

When you register for live or recorded ERBC webinars, we ask you to provide your contact information (First Name, Last Name, Email, Country, City, Organization, Job Title, Field of activity and specific questions related to the webinar topic). In addition, we collect and track webinar performance by analyzing the number of attendees, the length of participation, the number of views and the questions that were asked). Your consent is required to register for webinars.

Events (like Symposium)

When you register for our events, such as symposium during congress, we collect and store your participation data (e.g contact and event participation details). Your consent is required to register for symposia.

E-Newsletters & Press releases

If you are registered in our database, you will receive news about ERBC such as e-newsletters or press releases. This means that you agree to receive information via email. ERBC sends newsletters and emails only to people listed in our database.

We collect and track newsletter performance by analyzing open rates, click-through rates, etc. Your consent is required when you sign up for our e-newsletters and press releases. If you decide you no longer wish to receive our emails, you can unsubscribe at any time by clicking on the "unsubscribe" link at the bottom of any email from ERBC.

How is your data used?

We may use your information for the following purposes:

  • To personalize your experience by responding to your individual needs
  • To improve our service by evaluating your feedback and information
  • To improve our customer service and technical support   
  • To send periodic emails including marketing emails – you can unsubscribe from any email by clicking on the "unsubscribe" link at the bottom of each email
  • To invite you to an event

Sharing personal data

We do not sell your personal data to third parties. However, your personal data may be shared on our behalf by our trusted third party suppliers. Indeed, some business operations such as delivering the intended product or service that you have requested from us or communication aspect, are performed by our trusted third party suppliers. They will only receive the information necessary to perform the service, and we require that they comply with this Privacy Policy.    

How do we protect and safeguard your personal information?

We are committed to keeping your data as safe and secure as possible. With this in mind, we have implemented a variety of security, technological and organizational measures to protect your personal information from unauthorized access in compliance with the GDPR.

Storage period

As an ERBC contact, your personal data will be stored in our database system as long as your subscription to the newsletter or email services is active. Any recipient may request to be removed from our contact database at any time by sending an email to privacy(at)erbc-group(dot)com with "I wish to be removed from your contact database" in the subject line, and we will honor that request.

As an ERBC customer, your personal data will be stored in our database system for as long as we need it to provide you with the products and/or services you have requested. At the end of the customer relationship, your personal data will be retained in our database system as a contact and your subscription to the newsletter or email services will remain active unless you unsubscribe.

Your rights as a data subject

ERBC respects your right to privacy, and you have the right, at any time to:

Be informed and request access: You can request to receive information from ERBC about your personal data that we hold in our database and how we use it. You can also request a copy of this data.

Ask for rectification and / or completion: You have the right to request for personal data rectification if these data are incorrect or completion if they are incomplete.

Ask for erasure (‘to be forgotten’): In some cases, your personal data can be erased or deleted. This might be the case:

  • If you withdraw your consent.
  • If you believe that your personal data are no longer necessary for the purpose for which it was collected, you can request their deletion. 
  • If your personal data has been processed unlawfully, in breach of other legal obligations or for a purpose other than that originally stated.
  • If you object to the processing of your personal data.

Request to restrict processing:  You have the right to request that the processing of your personal data be restricted if one of the following conditions set out in the GDPR is met:

  • The accuracy of the personal data is contested by you for a period of time that allows us to verify the accuracy of this information.
  • The processing is unlawful, and you refuse the deletion of the personal data and request that we restrict them instead.
  • We no longer need your personal data for processing purposes, but you have requested it for the establishment, exercise or defense of legal claims.
  • You object to us processing your personal data on the basis of our legitimate interests and it is not yet clear whether our legitimate interests outweigh yours.   

Opposition to processing: You have the right to object to the processing of your personal data on compelling legitimate grounds relating to your particular situation. You may also object to the transfer of your data for direct marketing purposes, including any processing based on our legitimate interests. If your objection is justified, we will stop processing your personal data.  

Request data portability: You have the right to move, copy or transfer your personal data from our database to another or to transmit this data to another person without hindrance You may also request that we provide you with your personal data in a structured, commonly used and machine-readable format. 

Withdrawal of consent: You have the right to withdraw your consent to our processing of your personal data where such processing is based on consent. Withdrawal of your consent does not affect the lawfulness of our processing up to the time of withdrawal. 

File a complaint with a regulatory agency : You have the right to complain to a supervisory data protection authority in your country about our data protection and privacy practices.

The collection of children's personal data

Under European law, minors under the age of 13 cannot, under any circumstances, give their own consent to the processing of their personal data. In France, a minor under the age of 15 cannot consent to the processing of his or her personal data.

ERBC is committed to protecting the personal data and privacy of children and does not process children's personal data. If the parents and/or legal guardians of a minor discover that the latter has provided ERBC with personal data, they are invited to request the deletion of the personal data collected by sending a letter or an e-mail to the addresses indicated in this Privacy Policy.

Applicable law

We continuously update our policies to comply with the EU Commission's guidelines on privacy and data protection. Our Privacy Policy is adapted to follow good practice recommendations to comply with the EU General Data Protection Regulation (GDPR) on rules of privacy information (French version).

We do not request, collect or store sensitive personal data in accordance with the EU General Data Protection Regulation (GDPR) n°2016-679 , Article 9 “ Processing of special categories of personal data”: revealing any “racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a natural person, data concerning health or data concerning a natural person's sex life or sexual orientation”.

We process personal data in accordance with the EU General Data Protection Regulation (GDPR), Article 6 “Lawfulness of processing”.

Matomo counts the number of visitors and tells us things about visitor behavior in general - such as identifying the search engine keywords that bring a user to the site, the typical length of stay on the site, or the average number of pages a user views.

This Notice will be regularly reviewed and updated. If we decide to change or update our Privacy Notice, we will do so on this page. Please refer to this Notice on a regular basis.
In case of contradiction between several versions of the Privacy Notice, the latest version will prevail.
